OVERVIEW
ProTourTM is an easy to use, Windows based software that is flexible enough to accommodate both small and large tour operators in any travel-related segment, from those who specialize in African Safaris to the more traditional travel agent based companies. As a recognized leader in the travel software industry, ProTourTM allows you to take charge of your company’s entire reservation process, from answering potential clients, to final document fulfillment. The reservation software has power tools built-in to help you make informed decisions about your company’s sales, marketing efforts, accounting position, inventory tracking, and document printing.

RESERVATION MODULE
The reservation module is designed for flexibility and ease of use. Our system gives you a vast array of booking capabilities: book packages, FIT’s, and complex cruise tours; input special requests; add products on the fly; remove items from packages; give early booking discounts; and much more. ProTourTM allows you to have reservation centers in multiple locations around the world while still having access to a centralized database. Using ProTourTM will allow you to:

• Make a reservation in minutes and fax or email a confirmation instantly from your computer
• Train a new agent to take reservations in just a few hours
• Check inventory on each reservation item instantly
• Automated late fees, deposits with due dates, weekday/weekend and seasonal pricing

The reservation module is integrated with the dynamic ProTourTM database: linking reservations to direct client and travel agency profiles, vendor profiles, reporting, receivables and payables, general ledgers, inventory and products. This puts the power of managing your business at your fingertips. With a few clicks of the mouse, you can have the complete history (active reservations, past reservations, cancelled reservations, revenue, revenue received, and more) of any client in your database.

INVENTORY
ProTourTM provides a complete and detailed inventory system. Every item you load into the system has an associated inventory tag. This inventory can be unlimited, free sell, or you can be part of an allotment. The system takes the complexities of a detailed inventory and breaks it down into an easy to manipulate calendar. Black out dates are added or removed as easily as clicking a button on the day(s) you wish to sell or stop selling. Some features include:

ACCOUNTING
ProTourTM was designed on a comprehensive accrual based accounting system. The accounting system is driven from the reservation module and the data you record there. At any given moment you can easily find out how much business you have done with a particular vendor, how much money you have paid them and how much is still outstanding. Conversely, the system can also report how much business a particular client has given you, how much they owe you and how much they have paid you. Some of the Accounting features are:

ProTourTM reports allow you to manage the day-to-day aspects of your business. It also allows you to analyze the over all picture: what marketing platforms have been successful, what tours have been profitable, what vendors sell the best, what Travel Agencies produce the most business. These are key questions to help you build a successful business plan. ProTourTM contains the tools to answer these questions and many more. There are over 75 different reports available, including:

UTILITIES
ProTourTM has many features to aid you in managing your database. Included are year-end and archiving functions to help clean up your data at the end of each year. The system has currency management functions, easy system backups, security features, and documentation setup. The utilities allow you to setup the core functions and maintain your database with ease.

• Brochure Requests: Take brochure request and process mailing labels, marketing reports, and brochure reports.
• Multiple Logos Utility: Companies with multiple brand names can setup separate invoices with separate logos and brand names.
• Insurance Module: These apply to reservations automatically upon the reservation agent choosing insurance. Input your insurance vendor, commission and rates (rates can be tiered).
• Currency Management Utility: Mass amend your currency exchange rates and update the selling prices in one step.

SYSTEM REQUIREMENTS
In order to utilize all the full functionality of ProTourTM we recommend the following minimum requirements:

• SERVER: One dedicated Windows 2000 (or later) server having at least a Pentium-4 2GHz chip, 1,024MB of RAM, 20GB Hard Drive, CD-RW Drive, dedicated DSL internet connection, NetMeeting Software.
• WORKSTATION(S): Pentium-4 1.6GHz chip, 512MB RAM, 18GB Hard Drive, NetMeeting Software, Windows 95/98/ME/2000/XP operating system in a networked environment.
